BUILDING & Equipment use

Our church is a gift of God and represents the sacrificial giving of many people.  We ask that you use it joyfully for His glory, but to do your best to leave it in the manner you found it, or better!

BUILDING USE POLICY

Trinity Baptist Church allows use of its building and facilities for TBC church ministries, groups, members and regular attenders, as well as service and charitable community organizations.  While Trinity allows people to request use of building and/or equipment, TBC’s primary purpose is to carry on the ministry of the local church.  TBC’s on-going core ministries will take precedence (worship service, Christian education, etc.).  Building Use Requests will be considered per our Church Facility Reservation Policy.  Church building use is NOT allowed for political groups, groups operating for commercial gain, or organizations whose activities are in conflict with the mission and doctrine of Trinity Baptist Church.

GENERAL FACILITY POLICY

  1. View TBC Master Calendar to confirm availability of date and time you are interested in reserving the building facility.
  2. Facility usage must be requested with the Church Office by completing a Building Use Request Form.  Requests will be evaluated by staff per our Church Facility Reservation Policy and a timely response (within two weeks) will be given. 
  3. Door Entry Schedules
    • If Key FOB is needed, make arrangements with the Office Admin the week of your event for obtaining and returning FOB. 
    • Doors will be scheduled to unlock when you trigger entrance doors with key FOB or OpenPath/Avigilon Alta App. Typically doors are scheduled to unlock 30 minutes prior to event and relock 30 minutes after start of event (doors remain open 1 hour). NOTE: For doors to remain unlocked, you must trigger the door with the FOB/APP in the timeframe between 30 minutes before/30 minutes after.
    • You will be able to enter the building at any time with Key FOB/App, however, doors will lock behind you (unless they are triggered within the set timeframe to remain open).  If you arrive early, you can enter the building, but you will still need to trigger the doors to remain unlocked with Key FOB/App at scheduled open time (within 30 minutes prior to event).
    • If you request to have doors open longer than 30 minutes before/ after your event starts, someone must monitor the door to see who is entering the building.
    • When doors are locked, people are able to exit doors from inside at any time. However, if they are returning to the building and doors are locked, they will need someone to let them back in.
    • DOORS SHOULD NOT BE PROPPED OPEN AT ANY TIME.
  4. NO smoking, alcoholic beverages, or dances are allowed in our facility.
  5. Children must always be supervised during event.  They are not to be permitted to roam freely about church property or playground without supervision.
  1. Rooms not requested (and approved for use) must remain locked and undisturbed.
  2. Trinity does not have support staff for set up, tear-down, nor clean-up following this event.  You are responsible for:
    • set-up of area(s)
    • return area(s) to original set-up as found prior to event (or as directed). We recommend that you take photos of area before event to remember how it was set up prior to event and to ensure it is left in same manner.
    • clean all area(s) used and vacuum (if needed); wipe down all tables and counters
    • remove any leftover food brought for the event. Do not leave items thinking others will use it unless you have conveyed this intent with them.
    • wash and put away any dishes used; remove all dishes brought
    • remove trash and take out to dumpster
    • clean and restock restrooms
    • reset thermostats (Fellowship Hall) and baseboard heaters (restrooms, vestibule entries) to original settings
    • turn off all lights
    • secure building and lock all doors before departure  
  3. Decorations: You are able to bring decorations into the church to decorate with.  DO NOT TAPE TO WALLS. All such decorations must be removed immediately following the event.
  4. Kitchen: Use of kitchen equipment may require a review of operation by TBC Hospitality Team Leader.  
    • Kitchenware: The church’s kitchenware may be used for your event (i.e. serving dishes, platters, utensils). You must wash, dry, and return all used items to proper location. DO NOT leave dishes in drying rack.
    • Towels & Wash Clothes:  You are responsible for properly laundering dish towels and wash clothes used and return them clean within two days.
    • Paper Products & Supplies:  You need to furnish your own paper products and supplies (paper plates, plasticware, napkins, cups, coffee, drinks, table coverings, etc.) for all non-ministry related activities (i.e. baby showers, bridal showers, birthday parties, open houses, etc.).  With prior approval from TBC Hospitality Leader, you may be able to purchase normally stocked supplies from TBC. Ministry events that are atypical and not normally scheduled (small group get-togethers, women’s or men’s ministry events, missions events, etc.) need to provide or include cost of paper products and supplies in planning an event.  With prior approval from TBC Hospitality Leader, you can purchase normally stocked supplies from TBC or inquire if Hospitality Team can support event needs.
  5. Bathrooms: Use of the showers may be allowed. Notify the office ahead of time if intending to utilize showers. Exhaust fans are tied into the furnace on the Trinity Kids Education Wing . To turn on the fans, go to the Education Wing hallway and locate the wall thermostat. Push the Fan toggle to ON. After use of showers, turn the fan back to AUTO.
  6. Trinity Kids Education Wing: The children’s wing is typically NOT available for use as we do not have support staff in place. Special approval may be granted at discretion of Pastor of Administration & Discipleship.  Please note if usage is granted:
    • Only toys set out can be utilized.  Do not use tubs of toys stored on shelves or in cabinets as all toys need to be cleaned and sanitized following usage.  All toys must be sorted and put back in correct bins.
    • All supplies and equipment from storage closet and sheds is not to be utilized or removed without prior approval from Pastor of Administration & Discipleship.
    • Make sure all garbage and diapers are removed to dumpster, including restrooms.
    • All areas must be vacuumed and returned to original setup, ready for classroom usage. (We recommend that you take photos of area before event to remember how it was set up prior to event and to ensure it is left in same manner.)
    • All tables and counters must be wiped down with Lysol wipes.
    • Lock all classroom doors after use.
  7. Sanctuary: The sanctuary is typically NOT available for use. Special approval may be granted at discretion of Pastor of Worship.  Please note that if usage is granted:
    • No playing or moving of music instruments or equipment without permission of Worship Pastor.
    • No use of stage lights without PRIOR approval and instruction.
    • No use of audio/visual/computer without prior approval of Worship Pastor.  The equipment will only be operated by a member of the tech team unless prior approval and instruction is received from Director of Worship.
  8. Cleanup: At finish of event, you must complete Facility Post-Event Checklist (printed copies available on clipboard located to right of office window).  Each item must be checked/initialed.  The completed checklist should be submitted electronically or left on Office Admin’s desk.

CHURCH FACILITY RESERVATION POLICY

  1. Event Scheduling Guidelines:  These scheduling windows primarily apply to special events and larger facility requests, not normally recurring ministry rhythms. 
    • Tier 1:
      Scheduling Window: 3-12 months in advance
      Tier 1 events are large churchwide events that significantly shape the overall church calendar and require substantial planning, coorination, staffing, or facility usage. These events are typically difficult to move and are considered major ministry priorities for the church.
      Examples include VBS, conferences with outside speakers, major outreach events, and large seasonal programs.
    • Tier 2:
      Scheduling Window: 3-9 months in advance
      Tier 2 events are major ministry events or core recurring ministry rhythms that require dependable calendar stability but do not shape the overall church calendar in the same way as Tier 1 events. These events are typically sponsored by an official church ministry and are important to the regular discipleship life of the church. Tier 2 events should require meaningful planning or consistent scheduling needs, but still allow flexibility for major churchwide priorities.  
      Examples include women's ministry gatherings, conferences with internal speakers, youth ministry programs, membership classes, retreats, and ministry banquets. 
    • Tier 3:
      Scheduling Window: 2 weeks - 3 months in advance
      Tier 3 events are smaller or more flexible ministry gatherings that support the normal life of the church but do not require long-term calendar protection.  These events are generally easier to move, require minimal coordination, and involve limited facility usage. Tier 3 events are scheduled around higher priority ministry events and should not reserve prime calendar space far in advance.
      Examples include leadership meetings, small groups, trainings, planning meetings, and one-time gatherings. 
  2. Other Considerations:  If somebody is needed to setup tech, then a minimum of 1 month is needed. If somebody is needed to work tech during the event, at least 2 months is needed.  All media must be submitted at least 2 weeks prior to event.
  3. Standing Events: A recurring meeting can still be placed on the calendar for the year if:
    • it is part of the normal ministry rhythm of the church
    • it has a predictable schedule
    • and it does not unnecessarily block high-demand space.
    • These events will be reaffirmed at the May and November Leadership Council meetings. A new request form will not be required.
  4. General Guidelines:  
    • Please consult the TBC Master Calendar before any building use request is made.
    • A Building Use Request Form must be filed in the appropriate scheduling window.
    • If a Tier 1 or Tier 2 event is requested at the same time as a standing event, ministries need to coordinate the details with one another. (This should be avoided if at all possible.)
    • Requests will be evaluated by the staff and a timely (within two weeks) response will be given.
